State of Firestone Discord's Privacy Policy
Effective Date: February 28, 2026
1. Scope & Who We Are
This Discord Privacy Policy ("Policy") explains how State of Firestone ("Firestone", "we", "us") collects, uses, stores, and shares information through the Discord application called ("publicFirestone") when you:
- Link your Discord account to Firestone using Discord OAuth2
- Use the State of Firestone Discord bot within our Discord servers
- Participate in tickets, appeals, verification, or moderation processes
This Policy applies to our Discord integration and related services. Discord itself is a separate platform with its own policies and terms.
2. What We Collect From Discord (OAuth2 Linking)
When you choose to link your Discord account, we may collect and store:
- Discord user ID
- Username, global display name, and discriminator (if applicable)
- Avatar image
We do not collect your Discord password. We do not ask for it.
3. What We Collect Inside Our Discord Servers
To operate verification, role synchronization, tickets, and moderation, our bot may process:
- Roblox verification of membership in the State of Firestone's Roblox group
- Assign server roles relevant to Roblox group roles automatically
- Ticket and appeal channel messages (to provide support and transcripts)
- Moderation events (warnings, timeouts, kicks, bans) and related context
We do not intentionally collect message content from your private DMs with other users. We only process content where our bot is present and permitted.
4. Important Notice: Moderation Logging (Including Deleted/Edited Messages)
Deleted/Edited message logging: In the State of Firestone Discord server, our moderation system may capture message content and metadata (including when a message is deleted or edited) and log it to restricted staff-only moderation channels for safety and rule enforcement. Deleting a message does not guarantee removal from moderation logs.
Access to moderation logs is limited to authorized staff and administrators.
Webhooks & off-Discord processing: To support moderation safety features, our systems may transmit moderation events and, where needed, related message content/metadata to Firestone-controlled services (for example, via webhooks) for processing and delivery to restricted staff-only moderation channels. We do not intend to permanently store user message content outside Discord; however, content may be processed and temporarily buffered/queued as part of normal operation.
5. Roblox Linking & Verification Data
When you use the /register command with the publicFirestone Discord bot, we use your existing Roblox account from the State of Firestone Hub authentication to verify your identity and grant access to the main State of Firestone Discord server and other related servers. We may collect and store:
- Roblox user ID and Roblox username from your Hub account
- Verification status and server access permissions
- Cross-platform identity verification data to prevent impersonation
This verification system ensures that your Discord account is properly linked to your verified Roblox identity from the Hub, providing secure access to State of Firestone Discord communities and maintaining consistent identity across platforms.
6. Why We Use Your Information
We use collected information to:
- Link your Discord account to your Hub/Roblox identity
- Assign and synchronize roles across participating servers
- Enable government-service features, departments, and permissions
- Operate ticketing, support, and appeal workflows
- Prevent abuse, investigate violations, and enforce rules
- Maintain audit logs for security and administrative accountability
7. What We Store Off-Platform (Outside Discord)
Some information gathered from Discord is stored in external databases and storage systems to provide Hub services. This may include:
- Discord user ID ↔ Roblox user ID link records
- Verification status, role sync state, and related audit entries
- Moderation records (actions, reasons, timestamps, appeal outcomes)
- Appeal submissions and related staff decisions needed for consistent enforcement
8. Data Sharing
We may share information in the following limited ways:
- Within State of Firestone staff: Authorized administrators and moderators may access moderation logs, ticket content, and enforcement records.
- Service providers: Hosting/database providers may process data as needed to operate the Hub (under access controls).
- Legal requirements: If required by applicable law or valid legal process.
We do not sell Discord-related personal data to third parties.
9. Data Retention
We retain information for as long as reasonably necessary to operate the Hub, keep communities safe, resolve disputes, and enforce rules.
- If you unlink your Discord account, we stop collecting new OAuth link data for that link going forward.
- Moderation, security, and audit records may be retained for accountability and abuse prevention, even after unlinking.
- Ticket transcripts may be retained to document support outcomes and enforcement decisions. These types of data are stored within Discord's text channels.
10. Security
We use reasonable technical and organizational safeguards designed to protect stored data (e.g., access controls, credential management, and audit logging). No method of transmission or storage is 100% secure.
11. Your Choices & Rights
Depending on your jurisdiction and the context of processing, you may have the ability to request access, correction, or deletion of certain stored data.
- Unlinking: You can stop future OAuth-based collection by unlinking your Discord account (where available in the Hub).
- Support requests: You can request information about your stored Hub/Discord link data through the provided contact methods.
- Deletion requests: You may request deletion of eligible data, subject to necessary retention for security, compliance, and enforcement.
12. Participation & Opt-Out
If you do not want your Discord account linked, do not complete the OAuth linking process. Access to the main State of Firestone server requires linking. Some server features (including verification-based access) require linking and role synchronization to function.
13. Changes to This Policy
We may update this Policy from time to time. If we make material changes, we will update the effective date and may provide additional notice through the Hub or our Discord servers. Continued use after changes means you accept the updated Policy.
